Best Shots Terms & Conditions
Please note that access to and use of www.bestshots.co.uk (referred to from now on as ‘the site’) is subject to the following terms and conditions.
As a user of the site (users will be referred to from now on as ‘you/your’) you are deemed to have accepted the terms and conditions contained in this document from your first visit to the site, whether or not you register your contact details or enter the competition.
Best Shots 2013 is being held as a fundraising event in support of Richmondshire Building Preservations Trust, registered charity 1099607. The registered postal address for the event is:

For the purposes of this document, the organisers are referred to as ‘Best Shots’.
All material contained on this site, including all text and images, and referred to from now on as the ‘site content’ is protected by copyrights and all other proprietary rights and laws.
All site content is the property of Best Shots, or, in the case of each photographic image, the author of the image. As a site user you are not permitted to copy, reproduce, republish, transmit, or distribute any of the site content; or offer any of it to the public; or create derivative works based on any of the site content, without permission in writing from Best Shots.
You may retrieve and display site content on a computer screen, PDA or mobile phone, and store temporary copies of the site content in an electronic form as long as it is for personal, non-commercial use only. Likewise, you must not store permanent copies of the content in any form, including on any server or other storage device connected to a public or open network.
You are not permitted to use the site for the posting, uploading, emailing or other transmission of any unsolicited or unauthorised advertising and promotional materials. You may not create a database, electronically or manually by systematically downloading and storing all or any of the site content.
The content published on the Best Shots site is offered on an ‘as is’ basis. By using this site, you agree that Best Shots is not responsible or liable for damages resulting from using the website, including:
- Harm caused by downloading media from the site such as viruses, spyware, or Trojan Horses
- Storage failures; inability to access or retrieve, or unauthorised disclosure of media uploaded to the site
- Inaccuracies in statistics and data published on the site
- Comments posted on the site by users, including via other web platforms
Also, Best Shots is not responsible for any typographical or other errors in any submissions or competition administration; or the announcement of winners and prizes. Nor is Best Shots liable for any electronic transmission errors resulting in interruption, deletion, delay or damage to unauthorised access or alterations to any entry materials.
Availability of the site
Every effort is made to keep the site up and running 24 hours a day, but Best Shots cannot foresee future technical errors and cannot guarantee the site will be uninterrupted or error-free at all times. In the event of the site going down as a result of a technical failure that can be resolved by the site’s host, every effort will be made to rectify the problem as quickly as possible.
Beyond that, Best Shots makes no warranty that the site’s services or its server are free from infection by viruses or any other potential harmful properties. Best Shots is not responsible for any technical problems caused by the internet or a third party website resulting in failure to receive submissions or inaccurate transmissions.
To enter the competition, you must register your personal contact details, including your email address, and it is your responsibility to inform Best Shots of any changes to that information.
Your registration details are for your sole use only. You will be asked to create a user name and password (referred to from now on as your ‘ID’). You are not permitted to share this ID with any other entrants and any use of the site via your ID will be your responsibility. If you believe, therefore, that there has been any breach of security such as the disclosure, theft or unauthorised use of your ID or any payment information, you must notify Best Shots immediately.
If you register with an email address that requires Best Shots to reply to you via a computer network operated by or on behalf of a third party, such as your college or place of work, then you are warranting that you are entitled to receive emails intended for you only at that address. Please note that if your employer or college asked Best Shots to stop sending you emails on that address then Best Shots would cease immediately without notifying you.
Best Shots may publish any material that you submit to the competition at its sole discretion and is entitled to make amends to your material prior to publication.
Any branding identifying Best Shots and its sponsors and other contributors is subject to copyright and you are not at liberty to use any trademark, patent, design right or copyright belonging to Best Shots or any of its contributing third parties. Any misuse of this copyright will result in Best Shots enforcing its intellectual property rights, including legal action.
Best Shots respects all photographers’ rights to protect their intellectual property and to defend their original work from unauthorised or unlawful use. All entrants retain full ownership and copyright of each submission. Best Shots reserves the right to resize or slightly crop a submission if necessary to enable it to best fit promotional materials.
Best Shots also reserves the right to disqualify and remove any uploaded submission that fails to comply with the following:
- You must be the sole owner and author of the submission.
- You are entitled to make your submission available to the site.
- Your submission does not contain any infringing, threatening, false, misleading, abusive, harassing, libellous, defamatory, vulgar, obscene, scandalous, inflammatory, pornographic or profane content.
- Your submission does not contain any material that could constitute or encourage conduct which would be considered a criminal offence.
- Your submission does not infringe on any copyrights, trademarks, contract rights, moral rights, or any other intellectual property rights of any third person or entity, or violate any person’s rights of privacy or publicity.
- Your submission does not contain any commercial content that promotes any product or service and does not contain screen credits.
Please note that you are also agreeing to fully indemnify Best Shots in respect of all royalties, fees and any other monies owing to any person by reason of your breaching any of the above.
Use of images
Any entry submitted to the site may be used by Best Shots for marketing and promotional purposes of the competition or exhibition tour for a maximum of 24 months after the entry is uploaded. You are therefore granting Best Shots a non-exclusive, irrevocable licence for each entry giving worldwide use in all media for any promotional activity relating to the event for this period of time.
Any image submitted by you and used by Best Shots for promotional purposes will be credited to you. Any failure to provide such credit line shall not be deemed to be a breach, as long as the organisers of Best Shots attempt to add a credit line as soon as is reasonably possible after the oversight has been reported.
You are responsible for protecting your entry against image misuse by any third party.
You are required to ensure that any people depicted in any image you submit has granted permission to be portrayed as shown and that any hired or loaned costumes or other props used within the shot came with the owner’s permission to be included as portrayed.
Links to Social Media and other Sites
Best Shots is not responsible for the content of any off-site pages or links to any other sites.
Viewing all other sites is at your own risk.
Where Best Shots features postings from social media platforms, blogs, and other external sites, it is under no obligation to monitor this content and assumes no responsibility or liability arising from the content. You are agreeing that images may appear on theses linked sites and that Best Shots is not liable for the actions of users of linked sites and the unauthorised use of any submissions.
Eligibility to enter
Best Shots is open to any professional, student or amateur photographer. Children under 12 have their own separate category – Young Snappers. Anyone entering under the age of 16 must have a parent’s or legal guardian’s permission to upload images onto the site.
The competition is not open to participating sponsors, organisers of the event, and employees of the organising charity, the Richmondshire Building Preservation Trust.
The competition has 10 categories to enter. A maximum of five photographscan be entered. You may submit the same image into any number of categories or submit a different image for each category you decide to enter. Previously published photographs can be submitted.
Submissions must be received by Midnight on 30th April 2012. Proof of sending will not be regarded as proof of receipt by Best Shots. Also see How to Enter.
Entries to Best Shots can uploaded digitally via the site. Alternatively, if you would prefer to send your photographs on a disc, memory stick or as prints, you can do this too, by downloading an Entry Form, printing it and returning it to:

CDs, memory sticks and prints Can not be returned, unless you supply a pre-paid, pre-addressed envelope. For entries made via the post, an extra handling fee of £10 will be charged.
If you are shooting digitally, it is highly recommended that your original photographs are captured as high resolution images. If your photograph(s) are selected for the Best Shots Exhibition, you will be instructed to send a copy of the original file(s) for us to print. The larger the original image size is the better your exhibition print will reproduce.
However, before you submit photographs online, they will need to be resized to no more than 1800 pixels on the longest side of the photograph and saved as jpegs. This will reduce the file size to approximately 2Mb which will be perfect for the judging panel's assessment of your work.
You will be required to complete an online entry form with your details and attach the jpeg images as instructed. You will also need to make your payment in full online at the time of your submission either with a credit or debit card or via PayPal.
If you intend to post your entry to Best Shots, just follow the instructions on the printed Entry Form and return this with your photographs and payment as directed.
Once a submission has been made an entrant cannot change the photograph or category selected. You may withdraw a submission at any stage but you must send written notification to Best Shots at the address stated above.. Please note that there will be no fees refunded on any withdrawn submissions.
Best of the Best - Public Voting
Best shots is to run an online voting system starting on 14th July 2013 and ending on 15th December 2013, allowing the public to nominate their favourite images.. Any registered user may vote and entrants may vote for their own submission(s).
When the voting finishes, the photographer of the photograph with the most votes will receive a £1,000 prize.
Announcing the Best of the Best Winner
The winner will be informed personally of their success. Their status as a winner will not be official until all required paperwork is signed and returned to Best Shots. (Liability release, publicity agreement; warranty of ownership, etc.) Documents must be returned within 10 working days of notification by Best Shots and failure to return documents by this time may result in disqualification. The winners will be published on the website once all the necessary documents have been received.
The winner found to be in breach of these terms and conditions will be disqualified and a new winner selected. Best shots reserves the right to announce the winners in whatever order is deemed suitable for publicity purposes.
Winners of the category prizes will be responsible for their own tax affairs in relation to any prize money received.
Right to cancel
If the competition is unable to go ahead as planned due to technical failure or tampering or any other cause beyond the organisers’ control then Best Shots reserves the right to cancel or modify the competition. If an entrant is found to be responsible for any such ‘tampering’ they will be disqualified.
In the event of a cancellation, Best Shots would not retain the rights to any submitted photographs and would return them to their rightful owners along with a full refund of the entry fee.
Agreement to these terms
Each user of the site agrees to these terms and conditions. Each photographer who submits to the competition also agrees to the competition rules and warrants that their submission complies with all requirements.
Information published on the site, including these terms and conditions, may change without notice. Your continued use of the site after changes are posted means that you agree to be legally bound by the amended terms.
Those who access this site from countries outside of the UK are solely responsible for compliance with local laws of the country in which the site content is viewed.
